# Licensing Patterns

> Common Power BI licensing patterns for building and sharing Entegrata reports

## Overview

Your firm licenses Power BI directly from Microsoft, and the right mix depends on how your firm works. These are the patterns Entegrata sees work well for building and sharing Entegrata reports.

<Info>
  Entegrata does not sell or manage Power BI licenses. Confirm your firm's licensing with your Microsoft account team or licensing partner.

## Building and Sharing Reports

People who build, publish, and share reports need a **Power BI Pro** or **Premium Per User** license.

A Pro license gives the right to create and share content. It does not, on its own, let people with a free license view that content. Who else needs a paid license depends on where the report lives. In a Pro workspace, viewers need Pro or Premium Per User. In a Premium Per User workspace, viewers need Premium Per User. On a Fabric capacity of F64 or higher, people with a free license can view.

## Sharing with Free-License Users

To share reports with many people who only view them, place the reports in a workspace on a **Fabric capacity of F64 or higher**. People with a free Power BI license can then view the reports, while the people who build them keep their Pro or Premium Per User licenses.

Smaller Fabric capacities require a Pro or Premium Per User license for every viewer. See [Microsoft Learn: Microsoft Fabric licenses](https://learn.microsoft.com/fabric/enterprise/licenses#licensing-scenario-summary).

## Choosing a Pattern

| Pattern | Who needs a paid license | Suits |
| - | - | - |
| Pro workspace | Everyone who builds or views reports | A small group of report users |
| Premium Per User workspace | Everyone who builds or views reports needs Premium Per User | A small group that needs Premium features |
| Fabric capacity, F64 or higher | Only the people who build and publish reports | Sharing reports with many viewers across the firm |
